Notice on the Internship for the Class of 2023

 

To each Secondary School:

 

In order to implement the spirit of the documents Opinions on Strengthening and Standardizing the Management of Learning in Ordinary Undergraduate Schools and Universities of the Ministry of Education and Notice on Further Strengthening the Management of Internship for Students in Universities and Schools of the Provincial Department of Education, and to ensure the standardized, orderly and safe implementation of the internship for the graduates of 2023 cohort, matters related to internship are notified hereby as follows.

 

I. Organizational Management

1. At the University level, the Internship Leadership Office of the University is established with the President as the leader, the Vice President for Teaching Affairs and the Vice President for Students Affairs as the deputy leaders, the Director of Academic Affairs, the head of the University-Enterprise Cooperation Office and the dean of each secondary school as members, and the Internship Leadership Office of the University is attached to the Academic Affairs Office, which is mainly responsible for the guidance, promotion and coordination of the internship of graduates.

2. At the secondary school level, the Internship Leadership Office of a secondary school is set up with the Dean as the leader, the Associate Dean for Teaching Affairs and the Associate Dean for Students Affairs as the deputy leaders, and the Supervisors of Teaching and Learning, the heads of cohorts, the teachers and the counselors as members, who are specifically responsible for the implementation of the internship of the secondary schools.

 

II. Principles of Internship

 

1. Student voluntary. The internship for graduates must fully respect the students' right to make their own choices, and students must not be forced to go to designated workplaces for internship or charged unreasonable fees in disguise. Where a complaint is received about such a situation, the secondary school concerned shall make an explanation of the situation, and the University will pursue those responsible for the situation in the secondary school as appropriate.

 

2. Specialty counterpart. According to the National Standards for Teaching Quality of Undergraduate Specialties in General Higher Education Schools and the basic requirements for practical teaching of relevant policies, each secondary school can provide internship opportunities for students by offering internship enterprises that are conducive to improving the quality of students to the University-Enterprise Cooperation Office, or students can find internship workplaces corresponding to their specialties according to the content of internship.

 

3. Safety and security. For students participating in designated internships, a tripartite internship agreement should be signed between the University, the internship workplace and the student before participating in the internship, with each party holding a copy of the agreement; for students participating in individual internships, a two-party internship agreement should be signed between the internship workplace and the student before participating in the internship. Whether the agreement is tripartite or bilateral, the internship agreement should include: the content of the internship, the duration of the internship, the conditions of labour protection and labour safety, hygiene and protection against occupational hazards during the internship, liability insurance and the handling of casualties, etc., to ensure that students are safe in their internship.

III. Mode of Internship

 

According to the recommended subject, internships can be divided into designated internships (those with more than 5 people from the same secondary school, the same major or the same class in the same internship workplace) and individual internships (those with less than 5 people from the same secondary school, the same major or the same class in the same internship workplace).

 

1. Designated Internships

Students can only be placed in designated internships if the internship workplace recommended by the secondary school or the University-Enterprise Cooperation Office is legally operated, has standard management, is well-equipped, meets the requirements of the laws and regulations on safety production, is in line with the content of the internship and is approved by the University Internship Leadership Office.

 

2. Individual Internships

For students who choose individual internship, the content of the internship in the internship workplace must meet the requirements of the corresponding syllabus of the programme specification, and the students should fill in the Application Form for Student’s Individual Internship (Appendix 1) by themselves, with the consent of their parents, review by the class teacher, examination by the secondary school and approval by the Academic Affairs Office before they are allowed to carry out individual internship.

IV. Submission of Materials

 

(i) Documents to be Submitted by Students

 

1. Materials to be submitted by students on individual internships:

(1) Materials to be submitted five working days prior to the official commencement of the internship:

Application Form for Students Individual Internship (Appendix 1)

Letter of Acceptance from the Internship Workplace (Appendix 2)

Agreement between the Two Sides of the Student’s Internship (Appendix 3) (the internship agreement between the two sides of the internship and the student, the internship agreement should include the duration of the internship, the content of the internship, safety and security and other relevant contents)

(2) Materials to be completed in the course of the internship:

① Internship Journal (Appendix 4)

Note: The journal should be written by hand, and the number of journal entries should be counted as 5 entries/week, mainly on the content of the internship, the process of the internship, the gains of the internship, etc. In principle, no less than 200 words/entry.

② Internship Supervisor’s Record Book (to be completed by the Faculty Internship Supervisor) (Appendix 5)

(3) Materials to be submitted at the end of the internship:

① Internship Report (Appendix 6)

Student’s Internship Assessment Form (Appendix 7)

 

2. Materials to be submitted by students on designated internships:

(1) Materials to be submitted five working days prior to the official commencement of the internship:

① A letter of Commitment to Safety for Designated Off-Campus Internships (Appendix 8)

Tripartite Agreement for Student’s Internship (Appendix 9)

(2) Materials to be completed in the course of the internship:

Internship Supervisor’s Record Book (to be completed by the Faculty Supervisor) (Appendix 5)

(3) Materials to be submitted at the end of the internship:

① Internship Report (Appendix 6)

Student’s Internship Assessment Form (Appendix 7)

 

3. Documents to be submitted by enlisted students:

According to the Notice on Further Promoting the Employment of school Graduates in the Field of Military Recruitment jointly issued by the Jiangxi Provincial People's Government Conscription Office, the Jiangxi Provincial Department of Human Resources and Social Security, the Jiangxi Provincial Department of Education and the Jiangxi Provincial Committee of the Communist Youth League, the preferential policies for university graduates in Jiangxi Province to be enlisted in the military are as follows: for diploma students who are approved to enlist in the first half of the year and who only need to complete their graduation internship to be able to graduate, the graduation internship will be completed in the army after enlistment, and they will be qualified by the military service authorities and issued with the Military Enlistment Internship Assessment Form, and the graduation certificate will be issued if the institution verifies that they have reached the graduation condition.

Copy of the Enlistment Notice (to be signed and stamped by the relevant functionaries)

(2) Materials to be submitted at the end of the internship:

Military Internship Certification Form

Note: The grade on the Enlisted Internship Assessment Form will be used; if no grade is available on the Enlisted Internship Assessment Form, the grade will be registered as "Pass".

 

(ii) Materials to be submitted by the secondary school:

 

In addition to the materials to be collected from students on internship, the secondary school is required to provide the following materials according to the different stages of the internship:

 

1. Materials to be submitted five working days before the official launch of the internship:

Internship Syllabus (provided by major)

Internship Scheme (Appendix 10)

Statistical Table on the Workplaces of Students’ Internship (Individual Internship) (Appendix 11) (in descending order by major, class and student number)

Approval Form for Individual Internships for Students (Appendix 12) (three copies in duplicate, the original to be filed with the Academic Affairs Office and copies to be retained by the University-Enterprise Cooperation Office and the secondary school)

Statistical Table on the Workplaces of Students’ Internship (Designated Internships) (Appendix 13) (in descending order by major, class and student number)

 

2. Materials to be submitted within one week of the end of the internship:

Internship Assessment Form (Appendix 14)

Note: Statistics in descending order by secondary school, major, class and student number for teachers to register marks.

②Statistical Table of Students Who Did Not Carry Out or Complete Their Graduation Internship in 20XX (Appendix 15)

V. Responsibility

 

1. Each secondary school should explain to students the purpose and significance, the content and the requirements of the internship and the assessment criteria for grades, provide safety education to students and emphasize disciplines in the internship.

 

2. Each secondary school should ensure the quality of the internship, and the content and requirements of the internship should be consistent with the requirements of the internship syllabus formulated by each secondary school; those who fail to meet the requirements should, in principle, be assessed as failing in the internship.

 

3. Each secondary school should arrange for the selection of the Workplace Supervisors (counselors) and the On-Campus Faculty Supervisors (full-time teachers) for students in designated internships, and clarify the work responsibilities of the Workplace Supervisors and the On-Campus Faculty Supervisors during the internship, and do a good job in guiding, managing and assessing students during the internship; for students in individual internships, the On-Campus Faculty Supervisors should be provided according to the requirements of the University, and the On-Campus Faculty Supervisors (full-time teachers) should provide guidance to the students by telephone or/and internet.

 

4. Each secondary school should strengthen the guidance and inspection of the internship. The Internship Leadership Office of the University should keep in touch with the internship instructors and students regularly to understand the situation, and give timely solutions to the problems and difficulties encountered to ensure that the internship goes on smoothly. Conduct regular visit and inspect the internship workplace/site, strengthen the communication and coordination with the companies/workplace. .

 

5. Each secondary school should actively take the initiative to expand higher quality companies/enterprises network and report to the School-Enterprise Cooperation Office. The University-Enterprise Cooperation Agreement (Appendix 16) and Student Internship through University-Enterprise Cooperation Agreement (Appendix 17) must be signed with the approval from Internship Leadership Office of the University. Each secondary school should  is responsible for support internship application and acceptance process between students and companies/enterprises.

 

6. The Teaching Affairs Office and the relevant functional departments(if any) is responsible for reviewing and granting approvals forthe relevant materials submitted by secondary schools..The instructors shall enter the students' internship marks into the academic affairs system.

 

7. Each secondary school should summarize the internship activities in a timely manner, continuously improve the work and quality of graduation internship, and carefully archiving the graduation internship materials.

For Designated Internships, in accordance with the method of "one file for one enterprise" the relevant materials should be collected and classified by internship enterprise/company and the order of each internal file should be in-lined with internship evaluation records

For Individual Internship, in accordance with the method of "one file for one person", the supporting materials shall be collected organized by the order of internship evaluation record. The cover of collected supporting materials must be a completed copy of the Cover of the Student Internship File (Appendix 18)
